Wade, I am by no means an expert. I was peering in and decided the best way for me to learn is to jump in. I'm treading water, and y'all are holding me up from drowning!

At Seattle, we're reserving each set of Reporting codes for individual institutions.  So far, only South Seattle is using reporting codes, and at the time we migrated only Reporting Code 1 was reportable in Alma Analytics so South got ownership of Reporting Code 1.

The way that South Seattle sets up their budget, each librarian gets a lump sum that they use to purchase books for *all* of the subject areas and programs they support.  Because the budget line is for the librarian, not the subject or program, South Seattle assigns a Reporting Code to track which subject area/program something was purchased for.

Here are the Reporting Codes South Seattle uses:

At the North Seattle and Seattle Central, their budget lines (in general) are set for specific subject areas and programs.  They do this in part because the librarians  trade responsibilities for different subject areas as people come and go. North Seattle and Seattle Central have the Secondary and Tertiary Reporting Codes reserved for their use whenever they decide to they need them.

As far as I know, Periodicals and Databases are individual budget lines completely separate from monographic purchases at all 3 libraries.

Speaking as a former faculty librarian who had collection development responsibilities, I'm not a big fan of creating separate budgets for non-print/non-monographic materials.  If you want spending breakdowns by format, it's usually easy enough to generate that information more accurately in other ways.  Budgeting by format instead of subject also has a tendency to create imbalances in library resources for one subject area v. another.  For example, materials that support the health sciences are almost entirely in the form of (expensive) journals and databases while humanities typically rely on books.  As periodical and database costs grow, book budgets typically get cut, which has the practical effect of reducing support for humanities courses.  Constructing budgets to reflect subject areas rather than format does a better job making it clear what it really costs to support different courses and programs. But that's just my opinion. Others may vary.  ;)

Glad to see you digging into acquisitions. Looks like we're going to have another acquisitions expert in the house pretty soon :)

Here are the top level reporting codes Bellevue has set up currently (I'm sure Paula wouldn't mind me sharing them).

Bellevue doesn't have secondary or tertiary codes set up at this time.

If anyone else has a set of reporting codes you'd like to share (Kirsti? John? Naoko?), you can export your costs to excel, and then just paste them into an email like I did below.

Paula,

Would you describe your reporting code structure? Or send screen shots?

I'm thinking of setting up GHC with top level of Physical or Electronic; second level with Monographs, Serials, or Audio/Visual; and third level with academic disciplines such as Humanities, Social Science, Science, Reference, Business, etc.

One of the things we talked about...or just touched on, really...was the concept of reporting codes.

Paula Laine, from Bellevue College, talked to us about how she uses a very simple fund structure and then relies on reporting codes to form groupings for the purpose of reporting.
