[Wactclc-alma] Simultaneous Delete Alma/OCLC Holdings

Lynn and all,

To be honest, for 100 titles a quarter, or even for a one-time 500 title deletion, I don't think it would be worth setting up the automated OCLC process.

For those kinds of numbers, it's easy enough to run an analytics report in Alma of the OCLC numbers of withdrawn records in a given period (or as a one-time thing), and pasting those into the batch holdings function in Connexion.

That would be easier than monitoring an automated process on an ongoing basis, to make sure it does what it's supposed to do.

You could run an analytics report in the Titles subject area, filtering on "Lifecycle" equals 'deleted', include the bibliographic id (OCLC #), and also filter on modification date, to group deletions by when they occurred.

You could then grab those OCLC numbers, and paste them into Batch / Holdings by OCLC Number in Connexion, and run them as a deletion on your symbol.

That would be a lot simpler than managing on ongoing automated job, since the automated job has a lot of things you need to watch out for.

I'm happy to walk through this with anyone interested.

Hi Wade,

Geez, I looked in the Alma documentation and missed this so thank you for the info! Would it be worthwhile for me to set this up, considering that I delete maybe 100 titles per quarter? Although, the main reason that I was looking into it is because I am withdrawing a collection of about 500 titles.

I will look into getting a WorldShare account and the FTP server and get back to you. That would be awesome if you could work with me to set it up.

Yes, having Alma report changes directly to OCLC about the holdings available on your holdings symbol can be accomplished:

The first thing you need is a to set up a synchronization project with OCLC on your symbol. Setting up such a job will give you an OCLC project id, associated with your symbol, that can be used to report incremental changes. Just jobs used to require going through OCLC to get a job set up. But now it looks like you can setup up such a project yourself now, through the WorldShare Collection Manager: https://www.oclc.org/support/services/collection-manager/migration/dsc-migration.en.html/#gettingstarted

The next step is to have an FTP server available, to use to pass files back and forth from Alma to OCLC.

Have others already pursued this workflow? Or, are there others besides BTC interested in doing so?

I remember hearing that sometime in the future, it would be possible to delete bib records from Alma and at the same time have title-level holdings deleted from OCLC. Does anyone know if this is possible? I am using CatExpress.
