[Wactclc-alma] Question about changes to activations in the Primo Central Index (PCI)

Dale, this email from Wade earlier this year gives the PCI publishing schedule, sounds like your changes won't show up until after the weekend?

Just a couple of notes about activating electronic collections, and timing.

Activating collections in Alma:

========================

When you select (and activate) an electronic collection in Alma, that set of titles will be published to Primo the next time Alma publishes to Primo.

Our Alma instances are set to publish to Primo every 6 hours. So, any newly activated titles should start showing up and be searchable (at the journal title level) in Primo within a day.

You do *not* need to do anything else for the title records to show up and be searchable in Primo. Activating stuff in the PCI (see below) is for enabling full text article searching, which is on a different publishing schedule.

[Note that, for selective packages, you have to either "select all" titles in the collection, or activate specific titles, to complete the activation.

The aggregator packages are all or nothing. When you activate an aggregator package, all titles in the package are activated, and you don't need to activate titles individually]

Activating collections in the PCI:

========================

When you activate an electronic collection in the PCI, what you are doing is enabling full text (as in article level) searching, or other enhanced search features, such as extra subject headings, for a corresponding collection you have activated in Alma.

New activation in the PCI are only published to Primo once a week, on the weekend. And only for corresponding Alma collections that have been activated by end of day Tuesday of a given week.

So, the full text article search and/or enhanced search features for a collection may take up to 10 days to appear in Primo, depending on the timing of when you activate in Alma and when you activate in the PCI.

(The reason for the slower publishing cycle for PCI activations is because of the size of the data sets being indexed. Indexing title records into Primo doesn't take as long, and is easier to process. While indexing big sets of fully searchable articles and content takes quite a bit longer.)

The "no full text available" error often happens when you have deactivated an electronic collection in Alma but that change hasn't made it over to Primo yet. So Primo will still find the record, but then it will realize that you no longer have any holdings for that record. If this is the case, it should resolve itself over the weekend.

Maybe. Probably?

I have been banging my head against how Primo displays electronic collections for the past few weeks. I may be getting somewhere, but I'm far from certain.

Anyway, that is my best guess. And as Dale mentioned, it's a good idea to review the electronic collections you have available and make sure they are the right ones. There are a lot of red herrings in the CZ.

No, I'm not sure. There are also more collections showing than we believe we activated. We're looking into it!

Our team thinks it would be lovely if one of the topics in the CLAMS pre-conference was around electronic collection acquisitions -> activation workflow, by the way. (hint, hint)

Lesley,

Edmonds access to Ebook Central is working fine. Are you sure you activated the correct collection in Alma? There were a lot to choose from.

Hi all,

Did anyone else's Ebook Central set-up fail this week?

I've opened up a few tickets with Ex Libris, but was wondering if anyone else is seeing this.

Starting last week we have seen more and more ebook results showing up in our Primo as "No full text available". For example, I just searched for "us foreign policy" in our Primo Library Catalog and results 1, 3, 4, 5, 6, 7, 8, 9, AND 10 are showing "No full text available."

Under View Online, you get the message "No full text available" and under Details it lists an Alma MMS ID. However, that title and ID are not in our Alma Institution. Some of these were working last week, but some we never owned.

I'm sure this is something that I did wrong when trying to set-up the new Ebook Central platform, but the issue just started happening.

Thanks for any guidance,

Lesley Caldwell
