[Wactclc-alma] Films on Demand

Ryer,

Good question. It sort of depends on how the vendor notifies you of changes in a collection like this.

If they send you a fresh set of MARC records at regular intervals, and those MARC records contain both collection additions and deletions (and the deletions are marked appropriately (a D in LDR position 5), then you can run the records through the import profile, and indicate in the import profile to "allow bibliographic deletions" and also allow "delete and deactivate portfolios".

If they provide additions and deletions in separate MARC files, that works too. Loading additions would be just as described in Ahniwa's video.

For the deletion records, there would be a few different ways to handle it. If the deletion records contain the D in LDR field 5 already, you could just run the file through an import profile.
If FOD does not put the D in the leader, you could do that yourself, with MARCEdit, and then run the deletion file through an import profile.

If they just send you a list of record ID's that they're removing, there would be different ways to create a managed set in Alma of those records in Alma, and the run a delete on those records.

Here's a link to the online help where the "allow bibliographic deletions" and "delete and deactivate portfolios" import profile options are discussed.

Thanks for the great video Ahniwa.

FOD titles also get discontinued periodically, so when it comes time to delete portfolios do we create a separate "import profile for deleting" that is nearly identical to our "import profile for importing", except for under the "Inventory Information" tab choose "Delete/deactivate portfolios"? Or is there a better way to delete portfolios based on a batched file from a vendor?

Thanks,
Ryer

I used SnagIt, which is kind of like Jing's big brother. Same company that makes Jing and Camtasia - https://www.techsmith.com/screen-capture.html.

OBS also works well though it requires slightly more fiddling with to set up. It is free, though, so big upside there. I use OBS for longer and more professional videos. It is also a great tool for streaming, which applies more to my gaming life than my library one. :) -- https://obsproject.com/

Dang, that was quick. Ahniwa is definitely upping the ante on how to answer questions :)

Ahniwa, what tool did you use to record that video?

Here's the short answer...

There is a 'Films on Demand' import profile available in the community zone (Screenshot below), that you can copy down and tweak for your own environment.

The import profile will take a set of MARC records (from Films on Demand), load them, and create an electronic portfolio for each record, based on the 856 in the MARC record.

Before importing records like this to create a local collection, I would recommend first creating a local electronic collection, so that you can add the portfolios to the electronic collection as part of the load process. Having the records in a collection.

That's not a full step-by-step, but gives you an idea of the process. But it's not much different than importing any set of records into Alma. You just create portfolio records during the import, instead of holdings or item records.

Feel free to post follow-up questions to the list.

For example, I'm not sure if there's anything special you have to do to obtain FoD MARC records, or are they just out there for anyone to download (and obviously, you'd want the records just for the titles to which you are subscribed.)

Thanks for that question, Nicole. I would like to do the same for Skagit, so any advice would be appreciated!

I'm forwarding the following message from Nicole to the list, as it got bounced on its initial delivery:

This summer I hope to get our Films on Demand records into Alma. I know that several schools have already done this, and I was wondering if you have any workflows or notes about your process that you'd be willing to share.
