[Wactclc-alma] Question about WorldShare Collection Manager batchload transition

Hello all:

In 2011/2012, Highline setup an OCLC batch process job that would update and delete OCLC holdings based on leader position 5. New items added to the collection were saved from Voyager to an upload file. For items deleted from the Voyager catalog, the leader position 5 was changed to DELETE then the bib was saved to the same upload file. Every month, we uploaded the file via .ftp to OCLC and holdings were adjusted accordingly.

We’d like to do this type of batch holdings update with Alma, but have not explored the ALMA links that Wade shared below. We’ll do some exploration and let you know when we need assistance.

Gerie

Subject: [Wactclc-alma] Question about WorldShare Collection Manager batchload transition

I’m forwarding the email below from Lily @ South Puget Sound Community College.

She is asking about changes in OCLC holdings syncing workflow for WorldShare Collection Manager, summarized as (from an OCLC message):

Avoid a gap in service by taking steps now. Batchload is the next product to transition to WorldShare Collection Manager as part of OCLC's efforts to streamline cataloging workflows. As a follow up to our earlier communications, you can now begin your transition from OCLC Batchload services to “data sync collections” in WorldShare Collection Manager. Please see below for a list of benefits you will experience due to this change.

Just FYI, this page appears to be the official OCLC page for this transition, and describes the OCLC process: https://www.oclc.org/support/services/collection-manager/migration.en.html

For Lily’s (and others’) benefit, Is anyone able to comment or describe how your institution has handled this transition?

I suspect that institutional holdings management in WorldCat varies from institution to institution.

And while I’m not an OCLC batchload expert, I believe this transition would only affect institutions that have a batchload job and process in place with OCLC (and would not affect institutions that manage the holdings process manually, through Connexion, for example).

And, for those of you that do have OCLC batch jobs in place, have you already begun to use the “Publishing to OCLC” process within Alma? (http://knowledge.exlibrisgroup.com/Alma/Product_Documentation/Alma_Online_Help_(English)/Integrations_with_External_Systems/030Resource_Management/110Publishing_to_OCLC )

That’s not a process I have direct experience with. But, in general terms, that Alma process would generate a file of holdings changes on a scheduled basis, and push that file out to your OCLC account for processing (would require configuration on the OCLC side as well)

Hi Wade,

Kathy and I are struggling with transitioning Batchload to WorldShare. Unfortunately, I’m not very familiar with how OCLC works. We tried calling OCLC’s help line, but couldn’t get through. Would you be able to help us with this?

Lily

S.O.S.! Does anybody know about transitioning OCLC Batchload to WorldShare Collection Manager? Is it something that needs to be done? If so, how do you go about doing it? The directions from OCLC were not all that great and the deadline to transition is Sept 23.

Our new cataloger, Kathy Laurente, and I are struggling and confused, but after Alma, this should be easy, right? 

Thanks in advance for your help!
