At Walla Walla, we have copies of the old college catalogs and *most* copies of the now-defunct student newspaper.  We house them in a storage room along with supplies, etc.

Hello,

Could you let me know if you have any sort of archives room on your campus? We had one but it was eliminated last year because "offices are for people, not stuff." I have a chance to try to bring it back but I'd love to have some information that archives in some sort of room with a closing door with controlled access for the public are in fact a thing that other CTC libraries in WA are doing.

At BC we have a mantra ?we are not an archive?.  That said we keep a few documents that are required - like the commencement brochure.
I think we need cloud storage and just scan them in.   Haven?t gotten there yet.

We have the same repetition of "we are not an archive" at North.  Nevertheless, materials accrete to us.  We keep what is locally (i.e. college related) relevant and have begun a not-on-fire-but-steady archiving project to better protect the materials.  No separate locking room, just some shelves in the staff work area.

Sam, same situation at Green River.  We have some archive materials in our storeroom which we bring out when someone needs to look at them.  However, we've never had an archive room.

We have a large archives of documnts, college historical photographs, and college yearbooks from the past, and have digitized most of it.  We don't have a good plan for adding new things, and will likely want to explore other platforms.

We've managed to weed some of the old records (ancient financial records).  We keep all the college catalogs, commencement programs, the old yearbooks, and literary magazines.  We also have a few photographs and a few programs of college events.  We are not so fortunate as to have a climate controlled room.  We keep everything in our Tech Services Workroom.  A digitization project is dreamed about, but we just don't have the staff.

It is my understanding that retaining college catalogs and commencement programs are among our mandates per the General Retention Schedule for Washington's Community and Technical College System (https://www.sos.wa.gov/_assets/archives/recordsmanagement/community-and-technical-colleges-sector-records-retention-schedule-v.1.1-(february-1998-updated-april-2007).pdf) .  Has anyone heard if that requirement has changed?

We don't have an archive at OC either.  We do have a locked room with microfilm that we are also using for digitization projects of our special collections.  It currently houses historical copies of our student newspaper.   If someone needs access to these, we will open the room for them and they can use the scanner too.

The library at Yakima Valley College has a single copy of some of the college yearbooks in its circulating collection.  Everything archive-related for the college is stored at the State Archives Central Branch in Ellensburg.

We do have a small archive room (about the size of a windowless office) with a door in the LCC Library. We occasionally have staff who show interest and give it some love, but staffing levels prevent us from making it a priority.

I agree with Vivienne.  I say ?we are not an archive? as well.  I explain that we don?t have the necessary space or the expertise to be an archive.

At BC we have a mantra ?we are not an archive?.  That said we keep a few documents that are required - like the commencement brochure.
I think we need cloud storage and just scan them in.   Haven?t gotten there yet.

Hello,

Could you let me know if you have any sort of archives room on your campus? We had one but it was eliminated last year because ?offices are for people, not stuff.? I have a chance to try to bring it back but I?d love to have some information that archives in some sort of room with a closing door with controlled access for the public are in fact a thing that other CTC libraries in WA are doing.

Hi,
We have traditionally housed print copies of the student newspaper and other Clark College generated publications in Technical Services. We have a sign-out system where the person can take the item to the photocopier.  There are a few histories in the circulating collection.  These are listed in the catalog.

Most of the history of the College is maintained by Communications and Marketing.

Sam, same situation at Green River.  We have some archive materials in our storeroom which we bring out when someone needs to look at them.  However, we've never had an archive room.

We have the same repetition of "we are not an archive" at North.  Nevertheless, materials accrete to us.  We keep what is locally (i.e. college related) relevant and have begun a not-on-fire-but-steady archiving project to better protect the materials.  No separate locking room, just some shelves in the staff work area.
