[BFET] closure of components for the summer

For what it is worth, I function the same way as Tameka...
I'm in mucho- clicking mode at the moment trying to clean up our screen for summer...here's to hoping EJAS doesn't choose to act up while we're all in there trying to meet multiple deadlines!

Tina,

Good question, the wording in the handbook is pretty confusing. Here at SPSCC, we do not extend the component all the way through the end of Fall if a student is enrolled for both summer and fall quarters. There is a time constraint on BE and VE. For BE it is 120 days and for VE it is 150 days at a time (at least that is my understanding). Our Summer through Fall equals 158 days, which exceeds the 120 and 150 day rules. However, in ejas, I am physically able to open a component for up to 365 days; so the capability to set components for over the 120/150 days is possible. Is it allowed? I do not know for sure.

In the handbook for VE it states, "Open this component for a maximum of 150 days, with a total of up to 2 consecutive years without our further review. Open a new component after the first 365 days."

My understanding is that the component can only be open for 150 days at a time for up to 2 years. The whole "open a new component after 365 days" I haven't a clue what that means. Since I am a fraidy-cat, I just open and close our components after each quarter. I would ask your DSHS BFET case manager since they are the folks that review your ejas automation. When I have a huge number of folks to process, I just send them in on an eligibility list and have DSHS open and close the components. Still tedious, but not as many clicks.

Hi Tina,
Thanks for your reply!  So on the students that are taking summer AND fall, do you make the component go through the end of the fall quarter?  That would cut down on the number that you would process in August, but will they allow us to do that?

Typically, fall is the biggest caseload that we get here at PC, and it's hard to keep up with getting all those components open and processed properly.  I'm just wanting to get some of this done before hand or at the earliest allowable time-table.

Hi Irene,
What I tend to do is if they have applied for Fall 2016 we can reopen them, at this time I don't have many Fall application until at least August.
At the moment I am closing those who are not attending summer nor have applied for fall.
Their components are set to close at the end of the month.

I don't recall ever getting a definite answer on whether we are to close VE (or BE) components for the summer if the client has not enrolled in summer classes.  And for those that have already registered for fall classes, are we allowed to extend them through December, or does that have to be done at the end of summer quarter?
